The REALTOR® Expo 2009 Exhibit Program offers a platform for real estate professionals to come together and conduct business, exchange ideas and network. You have an opportunity to showcase your products, distribute information, meet with clients, and build essential contacts. Exhibit hours have been extended for maximum visibility.
Your company will be highlighted in the exhibit program distributed to all Expo attendees. And, you’ll be listed on the Expo website, as well as the Minneapolis Area Association of REALTORS® (MAAR), North Metro REALTORS® Association (NMRA), Saint Paul Area Association of REALTORS® (SPAAR) and Southern Twin Cities Association of REALTORS® (STCAR) websites as an Expo exhibitoridentifying you as a strategic member in our real estate-related community.

Space Reservation

Deadline is August 21, 2009. For exhibitors wishing to receive preferred booth assignments, BOTH sponsorship and exhibit contracts with payment must be received by August 21, 2009. There is an initial booth space fee of $500.00* This fee includes:

• One 8’ x 10’ booth space, pipe and draped, to include 8’ high backdrop and 3’ high side rails
• 6’ x 30” exhibit table draped and skirted, two chairs, one wastebasket and carpeted space
• One 7” x 44” booth identification sign
• Listing in REALTOR® Expo 2009 exhibit directory
• Listing on the Expo URL www.tcrealtor.org, MAAR, NMRA, SPAAR and STCAR websites
• Listing in the MAAR, NMRA, SPAAR and STCAR communications

General Overview
Admittance to the Exhibit Area
Entrance to the exhibition is by REALTOR® Expo 2009 name badge only. Each company that purchases an exhibit space is entitled to two (2) complimentary registrations. Additional registrations may be purchased for $50.00 prior to August 21, 2009, and $75.00 after that date. Onsite registrations will be accepted, if available, at the $75.00 rate. Each Exhibit registration offers entry to the exhibition and buffet lunch. The classes are not included in exhibitor registration. Temporary workers and contractors working in the booth for installation or dismantle must wear a “working pass.”
Exhibit
One 8’ x 10’ exhibit is allowed per company, or one exhibit per independent operating division within a company. Each 8’ x 10’ exhibit includes one 6’ x 30” exhibit table draped and skirted, two chairs, one wastebasket, carpeted 8’ x 10’ space, and a 7” x 44” company identification sign. A limited number of double booth spaces are available (see Exhibitor Contract).
Displays, Materials and Props

Displayed items must sit inside the confines of the 8’ x 10’ booth space. This can be on the 6’ table that is included, or on the floor. Displayed items must not impede or block the line of sight to the booth next to you and cannot sit or extend into the aisle.

a. Permitted at exhibit

• Educational sales literature
• Samples of food items are permitted and must be approved by the Catering Manager of the Saint Paul RiverCentre.

• Sales premiums, souvenirs, handouts, etc
• Instruments and/or equipment (self-supporting and set on the table: no water is available)
• Table drapes (i.e., company banner)

b. Prohibited at exhibit

• No large display materials over 8 feet high or that exceed the 6 foot table dimensions. Standard name signs will be provided
• Storage of boxes is not allowed behind the 8 foot back drape
• No solicitations, interviews and/or distribution of literature can be done outside the confines of the Exhibitor’s individual
exhibit area
• No cooking or other food preparation
• The serving of alcoholic beverages by Exhibitors is prohibited unless the exhibitor is a beverage distributor, wine merchant and/or winery. Wine service is limited to tasting and/or sample sizes not to exceed 4 liquid ounces
• Audio presentations of speech and/or music are prohibited

Booth Assignment and Sublease
The REALTOR® associations will strive to fulfill all space requests. In the event that the exhibitor’s preferences are unavailable, the REALTOR® associations reserve the right to assign an alternate space. Confirmation of specific space will be made once all exhibit requests have been received and in the order that the REALTOR® associations receives paid contracts. The Exhibitor shall not sublet booth or any equipment provided by the REALTOR® associations; nor shall exhibitor assign this lease in whole or in part. Payment must be received before booth space is confirmed.
Refund Policy
Deadline for payment in full is August 21, 2009. A full refund (less a $75.00 processing fee) will be made for all space cancelled, in writing, on or before August 21, 2009. No refunds will be offered after August 21, 2009. All cancelled space shall revert to the possession of the REALTOR® Expo 2009, and may be re-sold.
Cancellation Policy
The REALTOR® associations reserve the right to cancel this contract if, in their opinion, the previous conditions are not observed or if payment in full is not received at the time the exhibit space contract is submitted. If, for causes beyond the control of the REALTOR® associations it is unable to comply with the terms of this contract and deliver the space allotted hereunder, this contract shall be considered terminated and any payments made by the exhibitor shall be refunded, less expenses incurred by the REALTOR® associations.
Security Tips for Exhibitors
Exhibitors and approved installation/dismantling team will only be allowed on the show floor during official installation and dismantling hours. Loss or damage to Exhibitor property remains the sole responsibility of the Exhibitor at all times. We recommend that exhibitors carry the appropriate insurance coverage and store excess supplies and merchandise with BREDE EXPOSITION SERVICES or in a facility outside the hall. During teardown, stay with your exhibit until your empty cartons are delivered and your goods are packed, sealed, and properly labeled. Any shipments not being handled by BREDE EXPOSITION SERVICES are the sole responsibility of the exhibitor.
Responsibility for Loss or Damage
The exhibitor assumes all responsibility for damage caused by the exhibit or the exhibiting company to the person, property, or rights of other parties including injury to floors, walls, decorations or equipment of the Saint Paul RiverCentre or exhibit contractor.
Food & Beverage
Samples of food & beverage are permitted at the exhibits and must be approved by the Catering Manager of the Saint Paul RiverCentre. Forms will be available in Exhibitor Service Manual. Exhibitors must provide all attendees the opportunity to sample. Cooking or other food preparation is prohibited at exhibits. The serving of alcoholic beverages by Exhibitors is prohibited unless the exhibitor is a beverage distributor, wine merchant and /or winery. Wine service is limited to tasting and/or sample sizes not to exceed 4 liquid ounces.
Shipping, Labor, Furniture Rental, and Other Services
BREDE EXPOSITION SERVICES, the official show contractor and decorator, will supply the exhibitor with order forms for drayage, furniture rental, installation and dismantling labor, and various other services. All materials must be shipped to BREDE EXPOSITION SERVICES or hand-carried into the Saint Paul RiverCentre exhibition hall. Equipment to transport exhibitor freight is not available for personal use. Shipments CANNOT be received at the Saint Paul RiverCentre prior to the set-up day due to storage and receiving limitations. C.O.D. shipments CANNOT be accepted anytime.
Prize Drawing
Exhibitors are encouraged to have prize drawings. It is the responsibility of each exhibitor and sponsor to provide Expo participants with proper forms. All prizes are to be picked up in the individual exhibit booths or the exhibitors can mail the prizes directly to the winners.

Pre-Show Promotion Opportunities

A profitable exposition experience depends on what you do before the show to assure that your clients and prospects come to you. Identify the audience you want to reach and then bring them to your exhibit. A focused and creative approach should be developed to attract attendees. Statistics prove attendees come to an exposition with a set agenda of exhibits to visit. Your pre-show promotional activity can get you on that list. Exposition attendees respond to invitations offering compelling reasons why they should visit a particular exhibit. The invitation can be in many forms—direct mail, telemarketing, electronic, advertising promotion—just as long as it provides meaningful information (a little creativity helps too!).

Here are some ideas on how to reach your target audience:

  • Advertise in trade journals
  • Issue press releases announcing new products and services, key people attending the show, and special show promotions
  • Hire a celebrity to be at your booth and promote, promote, promote
  • Mail “personal” invitations two weeks before the show and include VIP cards to access a drawing in your booth or an invitation to your hospitality suite
  • Mail cards redeemable for a gift in the exhibit booth
  • Make telephone calls to your key prospects just prior to the show
  • Invitations and follow-up promotion may also be done electronically via HTML email
